Please read these terms and conditions carefully before booking an expedition or participating in a convoy with Plus530 Adventure.
Important Notice
By accessing our website, reserving an expedition slot, paying a booking deposit, or participating in any self-drive 4x4 convoy or motorcycle expedition organized by Plus530 Adventure, you agree to be bound by these Terms and Conditions.
1. Introduction & Acceptance of Terms
These Terms and Conditions ("Terms") govern the relationship between you (the "Participant", "Guest", "Driver", "Rider", or "User") and Plus530 Adventure ("Company", "we", "us", or "our"), operating overland expeditions, self-drive 4x4 convoys, guided motorcycle tours, mountain journeys, and related travel services across India and neighboring Himalayan regions (including Ladakh, Spiti Valley, Western Ghats, Rajasthan, Bhutan, and Nepal).
By browsing our website (plus530adventure.com), submitting an inquiry, paying a booking deposit, or participating in an expedition, you confirm that you have read, understood, and unconditionally accepted all provisions set forth herein. If you do not agree to these Terms, you must not proceed with booking or participation.
2. Eligibility & Expedition Participation Requirements
Overland expeditions traverse remote, wilderness, and high-altitude mountain environments. To ensure safety across the convoy, all participants must satisfy the following eligibility criteria:
- Driver & Rider Age & Licensing: All drivers participating in self-drive 4x4 convoys and riders participating in motorcycle expeditions must be at least 18 years of age and hold a valid, unexpired permanent Driving License (with appropriate vehicle class endorsements: LMV for 4x4 vehicles, MCWG for motorcycles) issued by the appropriate licensing authority in India (or an International Driving Permit / recognized foreign license for international guests where permitted by law).
- Passenger & Pillion Criteria: Passengers and pillion riders are welcome on designated expeditions; however, minors under 18 years of age must be accompanied by a parent or legal guardian who assumes full legal responsibility.
- Rider Protective Gear: All motorcycle expedition riders and pillions must wear certified protective riding gear at all times during ride stages, including a DOT/ECE/ISI-certified helmet, armored riding jacket, protective pants, riding gloves, and boots.
- Health & High-Altitude Declaration: High-altitude overland expeditions (such as Ladakh, Spiti, and passes exceeding 10,000–19,000 feet like Khardung La and Umling La) involve severe physical demands, cold temperatures, and thin air. Participants must disclose any pre-existing medical conditions, including cardiovascular disorders, respiratory conditions, asthma, hypertension, or pregnancy. Participants are responsible for consulting a physician regarding their fitness for high-altitude travel and carrying adequate personal prescription medications.
- Travel & Medical Insurance: We strongly recommend that all participants procure comprehensive medical and travel insurance covering accidental injury, hospitalization, high-altitude medical evacuation, and motor travel prior to departure.
3. Convoy Protocols, Safety & Trail Discipline
The safety of every guest, vehicle, motorcycle, and crew member depends upon strict adherence to collective convoy protocols. By joining a Plus530 Adventure convoy or expedition, you agree to:
- Trail Leader Operational Authority: The designated Lead Marshal / Expedition Leader exercises complete operational authority during the expedition. All 4x4 drivers and motorcycle riders must comply promptly with speed limits, driving/riding lines, overtaking restrictions, staging instructions, and safety orders given by the Lead Marshal or sweep recovery crew.
- Radio Etiquette & Communications: Two-way communication radios (VHF/UHF or walkie-talkies provided or utilized during convoys) are strictly reserved for official convoy coordination, hazard warnings, route navigation, and medical/mechanical emergencies. Unauthorized transmission, non-essential chatter, or foul language on convoy channels is prohibited.
- Convoy Separation & Spacing: Drivers and motorcycle riders must maintain safe braking distances appropriate for the trail surface (gravel, mud, snow, river crossings, or switchbacks). Motorcycle riders must maintain safe staggered formations where instructed. Participants must not break away from the convoy formation, change convoy order without authorization, or initiate independent detours without explicit clearance from the Lead Marshal.
- Zero-Tolerance Alcohol & Substance Policy: Operating any motor vehicle or motorcycle under the influence of alcohol, narcotics, or intoxicating substances during active drive/ride stages is strictly prohibited. Any participant found driving or riding under the influence will be immediately removed from the convoy, their expedition terminated without refund, and law enforcement authorities may be informed in the interest of public safety.
4. Booking, Pricing & Payment Terms
Clear financial agreements ensure seamless preparation, logistical coordination, hotel reservations, and permit clearances:
- Currency & Pricing: All expedition prices, booking deposits, and incidental costs are quoted, invoiced, and charged in Indian Rupees (INR ₹).
- Online Payment Gateway: Online payments are processed through our authorized RBI-compliant payment gateway partner, Cashfree Payments India Pvt. Ltd. We do not store or capture any sensitive debit/credit card numbers, CVVs, or online banking passwords on our servers.
- Booking Deposit: A booking advance deposit is required at the time of reservation to confirm your slot in the convoy. Slots are reserved on a first-come, first-served basis upon receipt of payment.
- Balance Payment: The remaining balance of the expedition fee must be cleared in full at least 30 days prior to the scheduled departure date. For reservations made within 30 days of departure, 100% full payment is required immediately upon confirmation.
- Cancellation & Refunds: Any cancellation by the participant is subject to our dedicated Refund & Cancellation Policy. Approved refunds are processed back to the original payment method within 5 to 7 working days.
5. Vehicle & Motorcycle Condition & Damage Responsibility
Overlanding and long-distance touring impose mechanical strain on motor vehicles and motorcycles. Participants bringing personal or rented vehicles/motorcycles must adhere to the following responsibilities:
- Vehicle & Motorcycle Fitness: All participant vehicles (4x4/AWD) and motorcycles must be mechanically sound, recently serviced, and equipped with all-terrain or dual-sport tires with adequate tread depth, functional brakes, and a full-size spare wheel (or spare tubes/puncture kits for motorcycles). Vehicles and motorcycles must carry a valid Registration Certificate (RC), Comprehensive Motor Insurance, and a valid Pollution Under Control (PUC) certificate.
- Maintenance & Fuel: Fuel costs, routine maintenance, consumables, fluid top-ups, and tire repairs remain the sole responsibility of the vehicle owner, driver, or rider.
- Mechanical Breakdowns & Damage Liability: Plus530 Adventure and its crew will provide field recovery assistance, winching, and basic trailside mechanical support within reasonable operational feasibility. However, Plus530 Adventure accepts no financial or legal liability for mechanical breakdowns, component failure, underbody damage, cosmetic scratches, towage fees, spare parts, or third-party garage repair bills.
- Rental Vehicles & Motorcycles: If a participant rents a 4x4 vehicle or motorcycle from a third-party rental provider or our recommended partners, all terms of hire, security deposits, and vehicle damage liabilities are governed strictly by the rental contract between the participant and the rental vendor.
6. Force Majeure & Terrain Alterations
Expeditions take place in remote mountain landscapes where conditions can shift rapidly:
- Unpredictable Terrain & Weather: Mountain passes and frontier regions in Ladakh, Spiti Valley, Bhutan, and Nepal are subject to natural events including landslides, flash floods, snowdrifts, blizzards, road blockades, and sudden border or military permit restrictions.
- Route Modifications: In the event of impassable trails, adverse weather, or safety hazards, the Lead Marshal reserves the absolute right to alter routes, invert itineraries, substitute accommodations, or curtail drive/ride sections for the safety of the convoy.
- Force Majeure Relief: Plus530 Adventure shall not be held liable or deemed in breach of contract for failure or delay in executing any part of an expedition due to events beyond its reasonable control (including Acts of God, severe weather, natural disasters, epidemics, civil unrest, strikes, road closures, or government/military orders).
- Expedition Postponement Credits: If an expedition must be cancelled or aborted prior to or during travel due to Force Majeure, trip credits will be issued for future expeditions in accordance with our Refund & Cancellation Policy. Additional personal accommodation or travel expenses incurred due to unexpected road blockages are the responsibility of the participant.
7. Intellectual Property & Photography Media Consent
During Plus530 Adventure expeditions, official photographers, videographers, and drone operators document the journey:
- Media Release: By participating, you grant Plus530 Adventure a worldwide, royalty-free, perpetual license to record, use, publish, and distribute photographs, audio, and video recordings featuring convoy vehicles, motorcycles, participants, and activities for marketing, promotional, social media, and digital website purposes.
- Opt-Out Option: Participants who do not wish to have their likeness featured in public promotional materials must provide written notification to Plus530 Adventure at info@plus530adventure.com prior to the expedition start date.
- Proprietary Content: All itineraries, route maps, custom trails, logos, brand names, website copy, and collateral produced by Plus530 Adventure are the proprietary intellectual property of the Company and may not be reproduced, copied, or exploited for commercial use without express written consent.
8. Governing Law & Jurisdiction
These Terms and Conditions, all expedition booking contracts, and any legal relationship arising out of your engagement with Plus530 Adventure shall be governed by, interpreted, and construed in accordance with the substantive laws of the Republic of India.
Any dispute, claim, or controversy arising out of or relating to these Terms, payments, or expedition participation that cannot be resolved through amicable mutual discussions shall be subject to the exclusive jurisdiction of the competent courts of Bangalore, Karnataka, India.
